1. Who we are

ICONENT GROUP (referred to as "ICONENT", "we", "us", or "our") is a music industry company operating in the United States. Our principal place of business is 99 Wall Street, New York, NY 10005. ICONENT GROUP is the data controller for personal information collected through iconent-group.com (the "Site") and our services.

2. Information we collect

We collect the following categories of personal information:

• Contact information you provide: name, email address, phone number, social media handles, and any information you submit when booking a review call or contacting us by email.
• Booking and engagement data: information you enter into our scheduling tool (Calendly) when booking a review call, including the time you select and any notes provided.
• Project information: streaming numbers, release history, content, audience metrics, and similar information that you voluntarily share during the engagement process.
• Technical data: IP address, browser type and version, device identifiers, time-zone, operating system, referring URL, and information about how you interact with the Site (pages viewed, links clicked).
• Cookies and similar technologies: see Section 7.
• Payment information (when applicable): we do not store payment card data on our servers. Payments are processed by Stripe, Inc., which collects and retains card and billing information under its own privacy policy.

3. How we use your information

We use personal information to:

• Provide and operate our services, including scheduling and conducting review calls.
• Communicate with you about your project, our services, and account matters.
• Process payments and manage billing (via Stripe).
• Improve the Site, our services, and the user experience.
• Detect, prevent, and address fraud, abuse, security incidents, and technical issues.
• Comply with legal obligations, enforce our Terms of Service, and protect our rights.
• Send service-related and, where permitted, marketing communications. You can opt out of marketing emails at any time.

4. Legal bases for processing (EEA/UK visitors)

Where the General Data Protection Regulation (GDPR) or UK GDPR applies, we process personal data on the following legal bases:

• Contract: to provide services you request (such as a review call or program engagement).
• Legitimate interests: to operate, secure, and improve the Site and services, to measure how the Site is used (analytics), and to market and advertise our services, including through the Meta (Facebook) Pixel. These tools load when you visit the Site rather than after a separate opt-in; you can object to or limit this processing as described in Sections 7 and 9.
• Consent: where we are required to obtain it — for example, certain direct marketing.
• Legal obligation: to comply with laws and respond to lawful requests.

5. How we share your information

We share personal information only as described below:

• Service providers: third parties that perform services on our behalf, including:
  • Calendly — scheduling and call booking.
  • Meta Platforms (Facebook) — analytics and advertising via the Meta Pixel.
  • Vimeo — video hosting and playback.
  • Vercel — Site hosting and content delivery.
  • Stripe — payment processing (when applicable).
  • Email and communication providers used to operate our business.
• Professional advisers: lawyers, accountants, insurers, and similar advisers, where reasonably necessary.
• Authorities and legal compliance: when required by law, subpoena, or to protect our rights, safety, or property, or that of others.
• Business transfers: in connection with a merger, acquisition, financing, or sale of all or part of our business.

We do not sell personal information for monetary consideration.

6. International data transfers

ICONENT GROUP operates from the United States, and our service providers may process data in the United States and other countries. When we transfer data from the EEA, UK, or Switzerland to a country that has not been deemed to provide adequate protection, we rely on lawful transfer mechanisms (such as Standard Contractual Clauses) where required.

7. Cookies and similar technologies

We and our third-party providers use cookies, pixels, and similar technologies to operate the Site, enable bookings and video, measure usage, and support advertising. The following third-party tools load on every page when you visit the Site, regardless of any cookie preference, and may set their own cookies:

• Meta (Facebook) Pixel — analytics and advertising. It records page views and certain actions (such as submitting our application form or completing a booking) and shares this information with Meta to measure and target advertising. See Meta's Privacy Policy.
• Calendly — booking and scheduling of calls. Calendly may set cookies to operate its embedded widget. See Calendly's Privacy Notice.
• Vimeo — video playback. Vimeo may set cookies when a video is loaded or played. See Vimeo's Privacy Policy.

We also use strictly necessary cookies required for the Site to function. Because the tools above load on every visit, you can limit or block this tracking using your browser settings, a Global Privacy Control (GPC) signal, the Do Not Sell or Share option, or device- and extension-level ad and tracking controls. Disabling some cookies may affect Site functionality.

8. Data retention

We retain personal information for as long as needed to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Booking records and project files are typically retained for the duration of the engagement plus a reasonable archival period. You may request deletion of your information at any time, subject to legal retention requirements.

9.1 California residents (CCPA / CPRA)

If you are a California resident, you have the right to:

• Know what personal information we collect, use, disclose, and (where applicable) sell or share about you.
• Request deletion of your personal information, subject to certain exceptions.
• Request correction of inaccurate personal information.
• Opt out of the "sale" or "sharing" of personal information. ICONENT GROUP does not sell personal information for monetary consideration.
• Limit the use of sensitive personal information.
• Be free from discrimination for exercising any of these rights.

9.2 EEA, UK, and Swiss residents (GDPR)

If you are located in the EEA, UK, or Switzerland, you have the right to access, correct, delete, or restrict the processing of your personal data; to object to processing based on legitimate interests; to data portability; and to withdraw consent at any time where processing is based on consent. You also have the right to lodge a complaint with a supervisory authority.

9.3 All other users

Regardless of your location, you may contact us to request access to or deletion of your personal information, and we will respond consistent with applicable law.

10. Security

We implement reasonable technical and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

11. Children's privacy

Our services are not directed to children under 13 (or under 16 in jurisdictions where the higher age applies). We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.

12. Third-party links

The Site may include links to third-party websites, products, or services. We are not responsible for the privacy practices of those third parties. Please review their privacy policies before providing personal information.

We may update this Privacy Policy from time to time. The "Effective date" at the top of this page indicates when the policy was last revised. Material changes will be communicated through the Site or by email where appropriate.
